Field Capture · an app by OML LTD
Field Capture privacy policy
Last updated 1 October 2026.
Field Capture is a phone app for businesses that use OML's Invoicer or SmartOrder: it records purchases and expenses with a photo of the receipt, sells at a till that keeps working offline, counts and moves stock, and shows the day's figures. It is made by OML LTD ("OML", "we").
In short
- The app works for your business's own system - the Invoicer or SmartOrder account you sign in to. What you record goes to that system, and nowhere else.
- If you choose "This device" instead of an account, everything stays on the phone.
- No advertising, no analytics, no location, no access to your contacts. We do not sell data.
1. What the app handles
- The address of your business's system, your user name and a sign-in token, kept on the phone so you stay signed in.
- Your password only if you switch on "Keep me signed in": it is then kept in the app's private storage on the phone, and sent only to your own system when the app signs you back in. Switch it off, or remove the account, and it is deleted.
- Purchases and expenses you record: amount, supplier, category, date, notes and the photo of the receipt.
- Sales made at the till: products, prices, payment method, and, if you add them, the customer's name, phone number and signature.
- Stock counts and stock moves, and the figures your system shows you (the day's sales, low stock, staff on duty, leave requests).
2. Where it goes
- Everything is sent over HTTPS to the business system you signed in to - an Invoicer or SmartOrder account belonging to your business. When that account is hosted by OML, OML keeps it on your business's behalf; your business decides who can see it.
- Until it is sent, a capture or sale waits on the phone, so nothing is lost without a signal. It is removed from the phone's queue once your system has it.
- In "This device" mode nothing is sent: the records stay in the app's storage on the phone, and a backup goes only where you send it.
- A receipt you send to a customer by WhatsApp goes through your own WhatsApp; the app only prepares the message.
3. The camera
The camera is used when you photograph a receipt and when you scan a barcode. Barcodes are read on the phone (Google's ML Kit, on-device) and are not stored or sent. Receipt photos are shrunk on the phone and sent only with the expense they belong to.
4. How long it is kept, and deleting it
On the phone: until it has been sent, or until you remove the account or the app. In your business system: for as long as your business keeps its records, which the law may require. To have records deleted, ask the business owner, or contact OML for accounts it hosts.
5. Security
Every connection uses HTTPS. The app signs in with your system's own sign-in, including two-step sign-in where your business has turned it on. The business owner can block the app for any account at once.
6. Children
Field Capture is a business tool for adults. It is not meant for children.
7. Your rights
Under the Data Protection Act 2017 of Mauritius you may ask what is held about you, and ask for it to be corrected or deleted. Contact your business, or OML as below.
8. Changes
If what the app handles changes, this page will change first, with a new date at the top.
